About this trip

Get ready for an unforgettable journey to Reykjavik, Iceland! From October 10-17, 2025, immerse yourself in the stunning natural beauty, vibrant culture, and unique experiences that make Iceland a must-visit destination. Whether you’re chasing the Northern Lights, relaxing in geothermal hot springs, or exploring breathtaking landscapes, this trip promises adventure and relaxation in equal measure.

TERMS & POLICIES

1. Making reservations for this package signifies your acceptance of our Terms and Policies. 


2. All payments to Langford Travel LLC are non-refundable and non-transferable. Our packages include multiple vendors with various cancellation policies. PURCHASE a "CANCEL FOR ANY REASON INSURANCE" policy within 14 days of making your deposit to protect your investment in case you need a refund. COVID-19 shut the entire world down. Be prepared for the unexpected.  A "Cancel For Any Reason" policy must be purchased within 14-days of your initial deposit in most cases.  However, travel insurance can be purchased any time up to and including after final payment. 


3. Reservations must be made in your FULL NAME as it appears on your passport. 


4. The payment schedule is required to keep your reservation current.  Monthly automatic payments will be processed to your preferred debit/credit card that you register with.  Our payment processing system is secured and encrypted. 


5. If booking with a roommate, choose your roommate wisely.  You must ensure your roommate, if applicable, is also making timely monthly payments.  


6. You can log onto WeTravel 24 hours a day / 7 days a week to review your account.  Name corrections or changes will incur a $150 change fee plus applicable fees by the vendors.  


7. All late payment requests must be approved by management. Any accounts not current due to a failed or missed payment will be charged a $50 late fee.  


8.  Langford Travel LLC reserves the right to cancel any reservation with an outstanding past-due payment amount.  Accounts that are past due by two payments will be canceled.  


9.  Cancelled reservations will incur a $150.00 (per person) processing fee to reinstate the booking. Canceled reservations are non-refundable.  Travel protection or travel insurance is highly recommended. 



CANCELLATION POLICY

If you cancel your reservation, the package is non-refundable. Langford Travel LLC has negotiated special pricing with vendors that will not allow us to obtain refunds. This way, we can keep your packages low and allow you to make monthly payments on your vacation. 


We like "happy clients"! Although you may not be able to attend this trip, we'd love to have you join us on a future travel experience.  See Travel Protection Insurance below.

TRAVEL PROTECTION INSURANCE

COVID-19 has taught us that "anything can happen".  Missing a vacation is bad enough. Losing the money you paid for your vacation is even worse.  Therefore, we highly recommend Travel Protection, which helps provide coverage for trip cancellation, interruption, baggage loss or delay, medical expenses, and more.  


For your domestic and international tours, we strongly advise you to invest in travel insurance. It's your shield against potential risks. Imagine a missed flight, falling ill during your vacation, or a sudden family emergency. These are the realities of travel, and without insurance, they could mean significant financial loss. We recommend a Cancel For Any Reason policy for comprehensive coverage.  


If you choose a "Cancel For Any Reason" policy (and you should),  most carriers require that you buy the policy within 1-14 days of the initial purchase and some the day of your initial deposit. DEPOSITS & PAYMENTS

Make your reservation early to keep your monthly payments low. 


THE FINAL PAYMENT IS AUGUST 11, 2025


1.  Any reservations made after the deposit deadline are subject to room availability. 


2. All roommates must pay the deposit to reserve the room. 


3. Payments are conveniently invoiced through WeTravel, a secure payment processing system developed especially for travelers and travel sellers. You will receive payment reminders at the email address you used to register, ensuring a seamless payment process.


4.  If you need to make any changes to your reservation, please email us at reservations@langfordtravelagency.com. We are here to make your experience as seamless as possible, and we understand that sometimes things do not go as planned.   


5. Participation in the festivities can only be purchased from the group organizers. Packages are not sold à la carte. Only registered guests are permitted to participate in private group activities.

LATE PAYMENTS AND ADDITIONAL FEES

1.  The vendors require payment on a timely basis.  We cannot extend credit to anyone making late payments.  Therefore, we will be reinforcing our failed and late payment policy.  A fee of $50 will be assessed for all late or failed payments.  Any account 2 months behind will be canceled.  A $150 fee is required to rebook.  


2.  Any changes such as roommate change, occupancy change, category changes, etc., within 120 days of departure will be assessed a $100 change fee per occurrence/incident. 

PRE-SALE DEPOSITS

If you reserved a spot during the Pre-Sale then, your $50 deposit will be applied to your reservation.  

STANDARD CREDIT CARD PROCESSING FEE

All credit card payments will incur a standard 2.9% + $.30 transaction fee for Visa/Mastercard or 3.9% + $.30 for AMEX plus 1% to WeTravel for processing. 


**If a user pays by credit card, the combined transaction and credit card fees are 3.9%+30c (1%+30c + 2.9%) for Visa/Mastercard or 4.9%+30c (1%+30c + 3.9%) for AMEX plus 1% to WeTravel for processing.**

FREQUENTLY ASKED QUESTIONS

1.  Can my roommate and I book and pay separately?  YES - Select DBL occupancy room category and 1 person at checkout.  Enter your information, and be sure to list your roommate's name.  Pay your deposit, and you are all set.  Your roommate will do the same, and we will pair the two of you in your room. You MUST select the same room type and list each other as roommates.  


2.  If my roommate cancels, what should I do?  You can get another roommate or transfer to a single occupancy room category.  You will be responsible for paying the difference in price. The trip was great , but I made the best of it. I can't say much about the travel agent. Langford travel. First I did not receive itinerary for trip til the week before we left. My roommate received her itinerary. I reached out to travel agent after checking my emails and spam folder. No itinerary. She said she sent them out. No she sent my roommate one. We both paid separately I don't get my own itinerary? Next we arrive with problems with out transportation to hotel. Then we get to the hotel and neither one of our names is on reservation. We have confirmation number for 2 people. Reservation was under Mark Williams and address in Indianapolis. Neither one of us. The manager was able to add our name to the room. Two single females traveling out of state and no record of our name on reservation. We have documents to confirm it. To me the travel agent did a very poor job. When I emailed her, she was so negative with her replies. That was unacceptable. She should have gone back to confirm what she did was correct. We ask and checked several times. Our names were no where to be found on reservation. Our name was added to the room only after showing our ID. I do not ever want to deal with Langford travel again. Her negative replies made me very upset. As I mentioned I have documents when we checked in and when we checked out. Neither of our name is listed. Perhaps Mark Williams from Indianapolis should pay for the vacation that is the only name listed.
