Booking Terms & Conditions of Essence Wellness Retreats

Booking Policy

By making a booking with Essence Wellness Retreats, you acknowledge that you have thoroughly reviewed & understood the following terms & conditions on behalf of yourself & any individuals included in the booking.

Your booking is confirmed & becomes valid upon receiving a confirmation email from Essence Wellness Retreats & upon completion of the required deposit payment.

Please note that Essence Wellness Retreats exclusively caters to individuals of all genders aged 18 years & older, unless noted specifically on a retreat package.

Deposit & Monthly Payments

To secure your reservation for any advertised retreat & specific dates, you must submit a non-refundable deposit per person along with our online booking form. The deposit for each Essence Wellness Retreat is listed on each booking & is required to secure your spot on said retreat. Monthly payments will be automatically deducted from the card used for the deposit, with reminders sent to the email address you listed on your booking.

All deposits are non-refundable. Full payment is due 60 days before the departure date, which is set by the tour operator. Failure to complete payments by this deadline will result in the cancellation of your booking by Essence Wellness Retreats/Tour Operator.

Please be aware that hold deposits, made for various essential services such as accommodation reservations, are non-refundable and non-creditable.

Cancellation Policy

We understand that unexpected circumstances may disrupt your plans. Our cancellation policy is as follows:

1. Deposits are non-refundable & non-transferable.

2. The remaining balance is due 60 days before the start date of the retreat, unless otherwise specified & communicated in writing with the retreat host.

3. All sales are final after 48 hours of booking.

4. In the event that you are unreachable to finalize payment within 60 days of your booking, Essence Wellness Retreats reserves the right to cancel your reservation, & all payments will be forfeited.

5. By completing the booking & making the deposit, you confirm your acceptance of these terms & conditions.

Retreat Pricing

All retreat prices are quoted per person & payable in USD. Essence Wellness Retreats is not responsible for any currency exchange fees or credit card/bank charges incurred during fund processing in another currency.

Your travel arrangement price does not include flights, travel insurance, medical insurance, excess baggage charges, tips, food, beverages, or additional activities not confirmed as part of your retreat package, unless expressly stated in the What's Included/What's Not Included Section of the retreat brochure.

Cancellation By Essence Wellness Retreats

Essence Wellness Retreats reserves the right to cancel a retreat at its sole discretion, including but not limited to reasons such as low participant numbers, compromised safety, in-country political concerns, weather or life-threatening situations. In case of cancellation, full refunds will be provided to all participants.

Room Reservations

Specific retreat packages outline the options for single & double occupancy as well as shared bed occupancy, depending on the retreats location. We will also be happy to offer room mate matching upon request.

Travel Documents

For entry, departure, & travel to retreat destinations outside of the United States of America, a valid passport is mandatory. Your passport must remain valid for at least 6 months beyond the return date & you must attest to this information upon checkout. Participants are responsible for obtaining any necessary visas, permits, certificates or passport applications/renewals prior to travel. Should the participant fail to secure valid travel documents prior to the retreat start date, the participant acknowledges they have forfeited their ability to travel & all payments made towards the retreat have been forfeited. 

Personal Safety & Trip Enjoyment

Your safety & well-being are paramount. Essence Wellness Retreats is not liable for any medical or physical injuries or illnesses. Participants accept full responsibility for their health & wellness, & they have the right to abstain from any activity during the retreat. Participants must ensure their physical & mental fitness for all aspects of Essence Wellness Retreats. A liability waiver will be required before attending any retreat. In the event you need medical assistance during a retreat, the host will ensure medical professionals are called to assist you with getting you to safety.

Medical Conditions & Special Requirements

Participants must disclose any medical conditions, pregnancy, disabilities, or other physical or mental conditions that may affect their ability to travel on the registration form. Essence Wellness Retreats strongly recommends purchasing travel & medical insurance. Your host can offer options for travel insurance, however, the host is not responsible for any claims, inquiries or quotes for insurance policies.

Personal Property & Responsibility

Essence Wellness Retreats is not responsible for any lost, stolen, or damaged personal or business property brought by participants. It is advisable to secure valuables & limit their presence during the retreat. Participants are encouraged to obtain property insurance for valuable items during travel.

Resort & Travel Responsibilities

All participants must comply with the resort/hotel/AirBnB accommodations policies where Essence Wellness Retreats is held. Attendees assume responsibility for any consequences resulting from property damage, rule violations, or other actions, including property damage, drug usage, loss of life, theft, & public intoxication.

Photos, Video, and Content Creation

During Essence Wellness Retreats, photos and/or videos may be taken by participants, guides, & professional photographers. These images may be used in promotional materials, the website, & social media platforms of Essence Wellness Retreats, the host or any other entities connected to the Essence Wellness Retreats, unless participants request otherwise.

Liability

Essence Wellness Retreats, is not liable for "acts of God" such as natural disasters, war, civil unrest, airport closures, & delays, or failures of performance by third parties, including independent contractors such as hotels, shuttle services, & excursions.

Updating of Terms & Conditions

Essence Wellness Retreats reserves the right to update & amend these terms &conditions as needed. The latest version can be found on Essence Wellness Retreats website.
